9:00 – 11:30          Work Smarter, Not Harder Using Google Apps

Google Apps For Education is not just for teachers and students. School administrators and business officials can use it to enhance communication, collaborate effectively, cut down on face-to-face meeting time, and streamline workflows in any department.

The strength of GAFE is that it transforms how school business officials conduct business and how teachers and students teach and learn. Everyone in the school district becomes more productive. School business officials use the suite in day-to-day communications. Because documents, spreadsheets, calendars, and presentations can be shared and co-authored, administrators can get updated information instantly, even when they are out of the district. They can show each other different scenarios, when working on projects. No need to attach Excel or Word documents to emails and wait for responses.  Back and forth conversations can take place within each document to discuss “what if” changes to budgets, staffing changes, administrative salaries, transportation needs, purchasing, etc. Revision histories allow for seeing changes editors have contributed. Workflows are more efficient, and important information is shared more effectively.

Communication is another strength of GAFE. Create folders you share with specific groups in your organization and “push out” important information, resources, files, etc. Supervisors keep business managers and superintendents up-to-date. Administrators keep staff up-to-date with resources, forms, and updates. Use Calendars to schedule meetings and attach files. Use Groups for department announcements. Use Google Presentation for BOE budget presentations and department informational meetings. Co-author with other business officials and change content right up to the last minute. No need to have one person collect and collate slides.

Districts are moving to Google and saving thousands of dollars. The suite of tools is FREE. There are no special servers to buy, and districts no longer need to replace/update aging servers. The free software is always being updated, eliminating the need to purchase Office licenses. IT department time is used more efficiently because there are fewer imaging and network issues to address.
